Job Summary:
 
As a Facilities Management Coordinator, you will be responsible for ensuring the smooth running of all our facilities. You will coordinate with service providers, vendors, and internal teams to maintain a safe, efficient, and well-organized environment across our retail and F&B outlets.
 
Job Responsibilities:
  • 1. Project Coordination & Planning
    • Assist in defining project scope, timelines, and deliverables.
    • Support in preparing project plans, schedules, and resource allocation.
    • Monitor project milestones and report progress to stakeholders.
    2. Execution & Operational Support
    • Coordinate daily project activities with contractors and internal teams.
    • Ensure site readiness, material availability, and timely execution.
    • Maintain documentation such as drawings, approvals, and project reports.
    3. Budgeting & Cost Control
    • Track project budgets, quotations, and purchase requests.
    • Review vendor invoices and highlight any variances.
    • Support in ensuring cost-efficient procurement and project spending.
    4. Quality Assurance & Compliance
    • Conduct site inspections to check work quality and progress.
    • Ensure adherence to company standards, safety regulations, and compliance requirements.
    • Identify risks, delays, and operational issues and escalate when necessary.
    5. Facilities Operations
    • Assist in supervising day-to-day facilities management across locations.
    • Coordinate preventive and corrective maintenance activities.
    • Liaise with service providers for HVAC, MEP, cleaning, pest control, security, landscaping, and other FM services.
    6. Maintenance & Asset Management
    • Track maintenance schedules and ensure timely completion.
    • Maintain asset inventory, equipment logs, and warranties.
    • Support in developing maintenance plans for new and existing facilities.
    7. Health, Safety & Compliance
    • Ensure all facilities comply with local municipality, civil defense, and regulatory requirements.
    • Support HSE audits, inspections, and documentation.
    • Ensure contractors follow safety protocols during project and maintenance work.
    8. Vendor & Contractor Coordination
    • Assist in evaluating vendor performance and service quality.
    • Coordinate with suppliers for repairs, installations, and routine services.
    • Support in renewing service agreements and facility contracts.
    9. Facilities Improvement & Optimization
    • Identify opportunities to enhance facility efficiency and reduce operational costs.
    • Support small renovation works, upgrades, fit-outs, and space optimization.
    • Monitor energy usage and propose cost-saving initiatives.
 
Job Requirements:
  • Bachelor’s degree in engineering, Facility Management, Project Management, or related field.
  • 2–4 years of experience in project coordination and/or facilities management.
  • Experience in retail, F&B, hospitality, or operations is an advantage.
  • Knowledge of FM processes, building systems, and maintenance cycles.
