Parts & Service Coordinator - AMS Group

Role Overview
 
As a Parts & Service Coordinator, you will play a pivotal role acting as a bridge between our Service and Parts departments. As part of our Abdulla Al Masaood & Sons Motorcycles (Harley-Davidson) team in Abu Dhabi, you'll work in an ONSITE environment where your primary responsibility is to coordinate parts requirements for service jobs and ensure seamless workflow between both teams. This includes reviewing repair orders, overseeing the identification and sourcing of parts, expediting deliveries to the workshop, and providing support to technicians, service advisors, and the parts team. By minimizing workflow delays and improving communication, your contribution will reduce downtime and enhance overall customer satisfaction.

Responsibilities
  • Review repair orders and accurately identify all required parts for each job.
  • Coordinate with the Parts department to ensure prompt availability and delivery of items.
  • Monitor parts status and job progress to reduce workshop downtime proactively.
  • Follow up on special orders, backorders, and urgent part requirements as they arise.
  • Facilitate effective communication regarding parts and job status between technicians, service advisors, and the parts team.
  • Assist service advisors with accurate parts information for estimates and job approvals.
  • Support technicians by recommending suitable part alternatives as required.
  • Maintain comprehensive documentation of parts used, returned, or pending throughout the repair process.
  • Ensure timely job flow and assist with on-time delivery of vehicles.
  • Perform basic inventory checks and confirm correct parts issuance for each service job.
  • Promote collaboration between service and parts teams to improve aftersales outcomes.
  • Adhere to dealership standards and ensure compliance with all safety processes and documentation requirements.
Must have requirements
  • Minimum 2–3 years of experience in automotive or motorcycle aftersales (service or parts department).
  • Strong knowledge of automotive or motorcycle parts and service operations.
  • Experience in parts coordination, service advisory, or parts consulting is an advantage.
  • Diploma or certificate in Automotive/Mechanical Engineering preferred.
  • Proficiency in parts catalog systems, DMS/ERP, and Microsoft Office.
  • Ability to interpret repair orders and understand technical requirements.
  • Basic understanding of repair procedures, parts identification, and workshop operations.
  • Excellent communication and coordination skills.
  • Strong problem-solving abilities with a proactive mindset.
  • Organizational and time management skills to handle multiple priorities.
  • Ability to thrive in a fast-paced environment and manage workflow efficiently.
  • Familiarity with motorcycle or power sports models is a plus.
  • Valid UAE driver’s license is an added advantage.
