The Administration Coordinator plays a key role in managing the day-to-day operations of the corporate office. Reporting to the Finance Director, this role ensures that administrative systems, reception services, and office operations are organized, efficient, and professionally executed. You will also support customer experience coordination and internal communications, acting as a central point of contact across teams.
What You’ll Do
Reception & Office Management

Welcome and direct visitors in a professional and friendly manner

Manage incoming calls, correspondence, and front-desk activities

Receive, record, and distribute courier shipments, mail, and invoices

Maintain reception and office areas in a clean, organized, and professional condition

Manage procurement, inventory, and distribution of office supplies across offices and showrooms

Organize meetings, appointments, and internal schedules

Maintain calendars, meeting logistics, and travel arrangements

Provide administrative support to management and departments when required

Coordinate internal communications and support corporate initiatives
Customer Experience & Relationship Support
Support consistent and professional customer engagement across communication channels.

Support the Regional Customer Experience team in managing customer inquiries and complaints received through social media and other platforms

Coordinate internally with relevant departments to ensure timely follow-up and resolution of customer requests and concerns

Maintain accurate tracking and documentation of customer communications and actions taken

Assist in monitoring response timelines to ensure adherence to service standards

Contribute to maintaining a consistent, professional customer communication approach aligned with brand guidelines
What You Should Bring

Bachelor’s degree in business administration or a related field

3–5 years of experience in administration, office coordination, or a similar role
-
Strong knowledge of office management practices and administrative procedures

Proficiency in Microsoft Office applications

Excellent organizational, multitasking, and time-management skills
-
Ability to handle confidential information with discretion and professionalism

Strong interpersonal and communication skills
